Steps for Online Proctoring

After you complete all the course materials, meet the minimum time requirement (if required by your state), and pass the practice exam(s), there's a final course exam. State regulation mandates that our final course exams are proctored by a credible third party to ensure the integrity of our students and our exams.

 

PSI - Online Proctoring Instructions

We have partnered with PSI to offer our students online proctoring, which means you are able to take your final course exam at your convenience from the comfort of your home while being monitored by a remote proctor through video and screen sharing capabilities.

Watch the following video or review the steps below to prepare for your online proctored final exam.

  1. Complete & pass your course practice exam(s) (proctoring NOT required).

    At the end of each course, we offer one or more practice exams. Our practice exams are meant to prepare you for the final course exam.

    • You do NOT need a proctor for the practice exam(s).
    • You are required to pass the practice exam(s), but have unlimited attempts to pass and can take them after passing them as well.
  2. Confirm that you meet the minimum technical requirements.

    • Please ensure you can install software on your computer, and PSI Bridge will not be blocked by a system firewall. For more details, see PSI's minimum system requirements.
    • Verify your system compatibility here.
  3. Schedule your proctored exam.

    • From your Course Home, select “Take me to my exam”. You will be redirected to our third party vendor, PSI, to schedule your exam.
    • From the Proctor Prompt, select “schedule exam”.
    • You will be prompted to enter your username and password. This is the same as what you use to access your course (i.e., email and password). Note: your password must be six plus characters. If your password is less than six characters please update your password from your My Account page.
    • From the PSI site, select “Schedule” and follow the prompts. Note:

      • Exams must be scheduled at least 24 hours in advance and are subject to availability.
      • Exam availability is within our customer support hours, Monday-Friday 7AM – 9PM CST and Saturday-Sunday 9AM – 6PM CST.
      • The proctoring fee for exams is $25.00 each and must be paid when you schedule your exam. Note: The proctoring fee is waived in Texas and North Carolina.
  4. Prepare for your final exam.

    Because you must schedule your proctored final course exam a minimum 24 hours in advance, we recommend using this time to prepare for your exam. Review your course resources such as study sheets and your glossary. You may also want to take an additional practice exam or two.

  5. Take your proctored final exam. Watch the video here.

    • No earlier than 15 minutes prior to your appointment time, log into your course and select “Take me to my exam” from your Course Home.
    • Make sure you have the following:

      • Photo ID. Military IDs cannot be accepted.
      • Blank paper. You will be asked to show the blank paper to the proctor via your webcam. Following the completion of your exam, you will be required to rip up the paper.
      • Writing utensils.
      • Basic calculator. Your calculator cannot have letters, and you cannot use your phone or computer calculator.
      • Clean desk. You cannot have notes, papers, or anything else on your desk during the exam.
      • Empty, well-lit room. You must have a quiet space free of all other people.
    • Complete the check-in process. You will be prompted to:

      • Slowly move the webcam around the room to verify that you are alone and that your desk is clear of restricted items.
      • Show your photo ID. Hold it up to the webcam to verify your identity.
      • Capture a photo of yourself in frame to verify your identity.
      • Test your webcam and microphone to ensure they are working properly and that screen sharing has been activated.
      • Download the secure browser: a small program file will download to your computer. Click the file to open it and select “Run” to install the program. If any pop-ups ask if you approve, click Yes or Okay.
    • A live proctor will connect with you via a chat box. You’ll read the rules and sign off on them.
    • The proctor will ask you to show your blank pieces of scratch paper. Hold them up to the webcam to verify that each page is blank.
    • When the check-in process is complete, the proctor will release you back into the course where you can launch your final exam.
    • You will take your exam in the proctor’s presence.
    • When you finish the exam, click Submit. You will see your results immediately.
  6. Review your exam results.

    • After passing, you will be prompted to complete a survey and affidavit. You have completed your course and the proctor will end the session with you. We will issue you a Certificate of Completion by email.
    • If you do not pass on the first attempt, see your Course Home for options, including retake availability where applicable.
    • After completing the process, select “End Proctoring Session” and follow the prompts.

What devices can I take my proctored PSI exam on?

Proctored exams must be taken on a laptop or desktop computer. You will not be able to use a tablet or mobile phone.

ProctorFree - Online Proctoring Instructions

We have partnered with ProctorFree to offer our students online proctoring, which means you are able to take your final course exam at your convenience from the comfort of your home with the ProcotorFree software.

Watch the following video or review the steps below to prepare for your online proctored final exam.

A few things to keep in mind before you begin:

  1. Complete & pass your course practice exam(s) (proctoring NOT required).

    At the end of each course, we offer one or more practice exams. Our practice exams are meant to prepare you for the final course exam.

    • You do NOT need a proctor for the practice exam.
    • You are required to pass the practice exam(s) but have unlimited attempts to pass and can take them after passing, as well.
  2. Confirm that you meet the minimum technical requirements.

    Please ensure you can install and run the ProctorFree application on your computer. For more details, see ProctorFree's technical requirements.

  3. Download the ProctorFree application.

    • From the “About This Course” section in your course, click on “Take Me to My Exam.” (Alternatively, from the same page, click “View Upcoming” and then “Final Exam” at the bottom of the table of contents.)
    • This will direct you to the proctor prompt pop-up screen. Select “Take Exam.”
    • You’ll be instructed to download the ProctorFree application. Select “Click Here” to begin the download. For detailed download instructions, click here.

       

  4. Complete the ProctorFree compatibility test.

    After you launch the application, you’ll be taken through a compatibility test:

    1. Performance checks if your computer is fast enough to process all the data.
    2. Camera checks to make sure your device has a camera.
    3. Microphone checks to make sure your mic is working properly. Click “Start Microphone Test” and speak a few words into your mic.
    4. Monitor checks to make sure there is only one monitor.
    5. Streaming checks to make sure your internet connection is strong enough.

    After passing the test, click “Proceed.”

    If you run into any issues during this process, just click on the Support button located on the bottom left of the app. The ProctorFree support team is available 24/7.

  5. Authenticate your identity with ProctorFree.

    After you complete the compatibility test, you’ll be taken through a self-authentication process:

    1. Follow the instructions to scan your face.
      • The left side of your screen lists all the requirements for verification, including:

        • Make sure no individual’s faces, pictures, or paintings are visible in the background.
        • Position yourself so that your face can fully be seen in good lighting.
    2. Show your Government ID.
      • Hold your Government ID in front of your camera so that it fits in the space provided.
      • Select the “Authenticate” button. This will take a photo of your Government ID.
  6. Take your proctored final exam.

    Before diving in, make sure you’re prepared! You can always go back and review your course resources, such as study sheets and your glossary, and take additional practice exams, for extra practice.

    Once you feel ready, it’s time to take your final exam!

    1. Click “Launch Proctored Session.”
    2. Take your final exam.
    3. Click “Submit Exam” when you are complete.
    4. You will know immediately if you passed or failed your exam.
    5. Click the “Continue to Complete Course” button. You’ll be prompted to complete a quick survey about your experience.
    6. Last, you’ll need to DIGITALLY SIGN your name to confirm that you completed your exam, which is crucial to receiving your course completion certificate.

    We will now review your proctored examination session, which could take up to 48 business hours. Once we’ve approved your session, you will receive your official course certificate.

    1. As soon as you start your test, the ProctorFree secure browser launches. This is a window that does not allow navigation to other tabs or applications. You won’t be able to copy and paste, and your window will be at full screen. Print screen functionality will also be disabled.
    2. Depending on what state you live in, there may be a required time limit for how long you can take to complete your exam. Not all states have this requirement.
    3. If you get kicked out of your exam session for any reason, simply relaunch the ProctorFree application and start a new session. You will be taken to where you left off.

What are the room requirements for the proctored exam?

These test environment rules are designed to ensure a fair and controlled testing environment. Adhering to these guidelines helps maintain the integrity of the exam and prevents any potential cheating or distractions. It's essential to follow these rules to ensure that the assessment accurately reflects your knowledge and abilities.

  1. The lighting in the room must be considered daylight quality. Overhead lighting is preferred. If overhead lighting is not available, the source of light must not be behind you.
  2. No other person is allowed to enter the room while you are taking the proctored exam,
  3. You must sit at a clean desk or table,
  4. The desk or walls around you must not have any writing,
  5. The room must be as quiet as possible. Sounds such as music or television are not permitted, and
  6. The following items must not be on your desk or used during your proctored exam:
    • Phone,
    • Textbooks, or
    • Notebooks.

What are the conduct requirements during a proctored exam?

  1. Stay within camera view: Your face must always remain fully visible to the webcam to ensure continuous monitoring. Don’t get up and leave the camera’s view.
  2. Avoid looking away from screen: You should focus on the screen and avoid frequent glances around the room, which could suggest cheating.
  3. No talking: Refrain from talking during the exam unless permitted, as it could indicate receiving help.
  4. No sharing: Capturing, copying, or distributing any exam material in any form is strictly forbidden.
  5. Adhere to time limits: Start and complete the exam within the designated time frame without taking unauthorized breaks.
  6. No electronic devices: Electronic devices not required* for the online proctored exam, such as smartphones, smartwatches, headphones, or earbuds, must be turned off and placed out of reach before the exam begins.

    * There are exceptions for medical conditions. If you have a medical condition requiring an electronic device, please contact our Customer Success team before your exam to ensure compliance while meeting your needs.

What materials does ProctorFree allow during my exam?

  • Blank paper. After your exam, you will be required to rip up the paper.
  • Writing utensils.
  • Basic calculator. Your calculator cannot have letters, and you cannot use your phone or computer calculator.

Can I drink or eat during my proctored exam?

  • Drinks are allowed during the examination if they are in colorless and unlabeled containers.
  • Food is generally not permitted as it may cause unnecessary distractions and noise during the exam.

Can I take multiple exams or attempts within a single recording session?

No, you cannot take multiple exams or attempts within a single recording session. Each recording session is designated for a specific exam, and students must complete the ongoing assessment before initiating a new proctored session for another examination or attempt.
